Executive Committee Job Descriptions
President
The president is elected by the local unit members to direct the affairs of the association in cooperation with the other members of the Executive Committee. Calls the meeting to order at the designated time and proceeds with the business. Maintains a fair and impartial position at all times. Stands to proceed and follows the accepted order of business. Declares the results of every vote taken. Calls for the required reports at specified times in accordance with specified procedures. Will insure representation at each All City PTA meetings.
1st Vice President
Acts as custodian of committee records. The 1st vice president presides at meetings in the basence of the president or upon the president's inability to serve. Assumes the duties of the president in case of the president's resignation until the position is filled in accordance with the Bylaws. Acts as aid to the president and represents the president upon request. Assists the president as needed in all tasks involving PTA activities including filling board positions, attending All City PTA meetings and approving purchases.
Scrip - 2nd Vice President
The 2nd vice president is chairperson for the Scrip Program. Keeps an accurate and detailed account of all Scrip monies received and paid out. Pays by check all bills. Provides a written an verbal financial statement at each meeting. Assists the 1st vice president when needed. Assists the president as needed in all tasks involving PTA activities including filling board positions, attending All City PTA meetings and approving purchases.
Secretary
The secretary is responsible for keeping accurate records of the proceedings of the organization. Maintains an accurate record of the PTA membership as received from the membership chairperson. Records all business transactions at each meeting. Has on-hand for reference at each meeting a copy of the local Bylaws and standing rules, the agenda, the minutes and treasurer's reports of previous meetings, a list of committees and membership roster. Counts a rising vote when called for by the presiding officer. Acts as custodian of all legal records and maintains copies of all permanent records. Conducts the correspondence of the association. Assists the president as needed in all tasks involving PTA activities including filling board positions, attending All City PTA meetings and approving purchases.
Treasurer
There are two people for this board position. The position requires having the checkbook and paying the invoices. It involves coming to the school several times a month, being available to write checks with little notice, and communication with the other treasurer, and communication with the PTA.

Studies all references to dues and finances in the national PTA handbook and in local, state and national PTA Bylaws. Keeps an accurate and detailed account of all monies received and paid out. Pays by check all bills as authorized by the president or Executive Committee. Coordinates the purchase of the presidents' pins and the Golden Acorn Award.
